Loading Time File Format

Time can be loaded into FlexiTime from external systems using a standard text file. The fields are tab delimited and are as follows - 

Employee Display Name
Date (dd/mm/yyyy)
Work Title
Work Category (optional)
Job Number (optional)
Start Time (hh:mi)
Duration (minutes including breaks)
Break (minutes)

 

The attached Excel spreadsheet contains a macro that generates a FlexiTime timesheet import file from an Excel timesheet. To import the time into FlexiTime make sure the employee name matches the display name set in the Maintain Employee screen and Work matches a valid Work item in the Maintain Work screen.

Click on the Load Export button in the Timesheet to load the export data into the Export worksheet.

The spreadsheet also contains a Timeclock sheet, this works independently to the Timesheet  i.e. updating the Timeclock will not update the Timesheet. The Timeclock can be used to list all employees and let them click on the Away button to toggle it from Away to On Duty. Every time the clock changes from On Duty to Away it writes a time record to the Export worksheet, these time records can then be exported to FlexiTime.

In the Export sheet click Export to File to create the export file. Save the file in a folder on your computer.

In FlexiTime click on the Options button in the Time Entry window, then click the Load Time button. Select FlexiTime .csv as the file format and select the csv file you saved from Excel. Moving the mouse over orange lines will indicate any problems with the imported data. Once all errors have been fixed click on the Save button to import the time into FlexiTime.
